Our USA-based digital marketing agency client is urgently seeking an experienced Agency Operations Specialist to join their team.
About the role:
We are seeking a highly motivated and experienced Agency Operations Specialist, who will play a crucial role in ensuring the smooth functioning of our agency's operations. Who will also be responsible for overseeing various administrative tasks, managing internal processes, and optimizing efficiency within the agency.
What you’ll be doing:
- Provide administrative support to various departments within the agency, including but not limited to, scheduling meetings, managing calendars, and handling correspondence.
- Maintain organized filing systems and ensure documents are properly archived.
- Develop, implement, and streamline operational processes to enhance efficiency and productivity.
- Continuously evaluate existing processes and identify areas for improvement.
- Collaborate with team members to establish best practices and ensure adherence to standard operating procedures.
- Support project managers in coordinating project timelines, resources, and deliverables.
- Monitor project progress and identify potential risks or issues.
- Assist in managing budgets, tracking expenses, and processing invoices.
- Work closely with the finance department to ensure accuracy and compliance with financial policies and procedures.
- Generate financial reports and analyze data to support decision-making.
- Maintain strong relationships with clients through regular communication and proactive problem-solving.
- Identify potential risks to operations and develop mitigation strategies.
- Stay informed about industry trends and best practices related to agency operations.
Who are we looking for?
- Bachelor's degree in business administration, operations management, or a related field.
- Previous experience in operations, administration, or project management preferred.
- Strong organizational skills with the ability to multitask and prioritize effectively.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office suite and other relevant software applications.
- Detail-oriented with a focus on accuracy and efficiency.
- Ability to work independently as well as part of a team in a fast-paced environment.
