About the role:
We are seeking a Virtual Assistant to provide administrative and client support to a busy US law firm. The role focuses on handling day-to-day tasks such as scheduling, client communication, document management, and ensuring smooth operations for attorneys. The ideal candidate will have prior experience working with law firms or professional service providers, excellent organizational skills, and the ability to manage sensitive information with discretion. This role is hands-on and does not require managerial responsibilities but demands exceptional attention to detail, responsiveness, and accountability.
US Law firm experience is a strong plus.
What you’ll be doing:
- Manage attorneys’ calendars, schedule client meetings, and organize case-related appointments.
- Handle client communication via email, phone, and virtual platforms with professionalism and empathy.
- Prepare, edit, and organize legal documents, correspondence, and case files.
- Perform data entry, maintain client records in CRM or case management systems, and ensure accuracy.
- Conduct basic online research to support case preparation and legal documentation.
- Assist with billing, invoicing, and expense tracking.
- Provide general administrative support to ensure seamless daily operations of the firm.
Who are we looking for?
- 2+ years of experience as a Virtual Assistant, preferably supporting attorneys, law firms, or professional service providers.
- Strong written and verbal English communication skills; ability to handle client-facing communication confidently.
- Excellent organizational and time-management skills with the ability to manage multiple priorities.
- Proficiency with office tools (Microsoft Office/Google Workspace), CRM/case management systems, and virtual communication platforms.
- High level of professionalism, discretion, and confidentiality in handling sensitive client and case information.
- Proactive, detail-oriented, and reliable with the ability to work independently.
